Policy
Refund Policy
Except for the exceptions stated below, or where the law requires otherwise, payments to Qualeron are final. A payment buys the stated subscription, setup or service; it never buys a particular candidate volume, exam outcome, or third-party recognition of your program.
Edition 2026.2 · Effective September 23, 2026 · Supersedes Edition 2026.1
1.Core rule: subscription payments are final
By paying a Qualeron invoice or completing checkout, you confirm the amount charged and accept the Terms of Use and this Refund Policy as presented before payment. Except for a verified duplicate charge or billing error, a Qualeron failure to deliver a paid service, an express written term in your order form that says otherwise, or a refund required by law, payments to Qualeron are final and non-refundable.
A subscription purchases platform access and the capabilities of your plan for its term. It never purchases a particular candidate volume, examination outcome, or third-party recognition of your program by any accreditor, regulator or employer.
2.Annual, multi-year and month-to-month subscriptions
Annual subscriptions are payable at contract start. Implementation is billed half at signing and half before production launch. Payment terms are net 15.
Once a subscription term begins and platform access is provisioned, the subscription fee for that term is earned and non-refundable — including if your organization later decides not to use the platform, delays launching a program, or changes plans. Subscriptions renew annually with 30 to 60 days' notice to cancel. Pricing is fixed for the initial term; renewal pricing may rise by 3–5% a year, communicated in advance.
- Month to month. Month-to-month billing is available at a premium: Launch $500, Professional $1,000 and Scale $1,875 a month; Enterprise month-to-month terms are custom. An annual contract saves $1,200 on Launch, $2,400 on Professional and $4,500 on Scale.
- Multi-year agreements. Two-year agreements take 5% off the subscription; three-year agreements take 10%. Professional on a three-year agreement is $8,640 a year.
3.Paid pilots
A paid pilot — $2,500 for 60 to 90 days, one program, limited candidates and attempts — is credited toward the annual subscription when you sign. A pilot fee is otherwise non-refundable once the pilot workspace is provisioned, for the same reason an annual fee is: it purchases access and setup work, not a particular result from the pilot.
4.Setup and onboarding fees
Setup fees (Launch $0, Professional $1,500, Scale $3,000, Enterprise $5,000) cover account and brand configuration, data import and administrator onboarding. A setup fee is billed as described in your order form and is non-refundable once the corresponding onboarding work begins, whether or not your organization completes every step of it.
5.Add-ons and services
Technology add-ons billed yearly (extra integrations, single sign-on, a sandbox, premium SLA and similar) follow the same rule as the subscription itself: non-refundable once the term begins and the add-on is provisioned.
Consulting, engineering, data migration and other work billed by the hour or by a written scope (custom engineering starts at $225 an hour with a ten-hour minimum) is invoiced as the work is performed and is non-refundable for work already completed; undelivered work under a fixed-scope engagement is handled as agreed in that scope document.
Delivery that passes through a real third-party cost — remote proctoring sessions, test-center delivery, SMS, high-volume email — is quoted or billed at cost plus the stated margin and is non-refundable once the third party has been engaged or the session delivered. Qualeron does not publish a per-session proctoring price here or elsewhere; ask for a quote against your expected volume.
6.Limited exceptions: duplicate charge, billing error or Qualeron non-delivery
Qualeron will review a payment-correction request when you identify a specific transaction and one of the following applies:
- the same invoice or order was charged more than once;
- the amount charged differs from your order form, invoice, or the published price in effect for that transaction;
- a payment was collected after the same balance had already been settled; or
- Qualeron did not provision the paid access or deliver the paid service, and cannot reasonably cure it — for example by provisioning it promptly or crediting the account.
These are transaction-correction or non-delivery remedies, not exceptions for dissatisfaction with the platform or a program's results. Report the issue through Contact Qualeron with your organization name, invoice reference, payment date, amount and a short explanation. Do not send a full card number.
7.Chargebacks and payment disputes
If a charge looks unfamiliar or wrong, contact Qualeron billing first so the transaction can be identified and any genuine error corrected. Filing a chargeback does not expand the refund rights stated in this policy. Qualeron may provide the payment processor or issuing bank with the transaction records permitted by law — the order form, invoice, this policy as presented at purchase, and delivery or access records — and may pause further provisioning on a disputed account until the balance is resolved, subject to applicable law.
8.Evidence of agreement and fulfillment
Checkout and invoicing require affirmative acceptance of the applicable terms before payment proceeds. Qualeron keeps records of the order or invoice, the amount, the date, policy acceptance, and — for platform access — when that access was provisioned, to investigate refund requests and respond to disputes.
9.Order-form-specific terms
Where an executed order form or subscription agreement states a different cancellation or refund term for a specific purchase, that term controls for that purchase; otherwise this policy controls. A verbal statement or a message from someone not authorized to modify Qualeron's payment terms does not amend this policy.
10.Scope, effective date and applicable law
This policy does not limit a right that applicable law makes non-waivable; where such a right applies, this policy is enforced to the fullest extent the law allows. This is Refund Policy Edition 2026.2, effective September 23, 2026, and applies to payments made on or after that date. A payment made before this revision remains governed by the refund terms presented and accepted at that time. Qualeron Technologies, LLC is the seller and the billing entity for every payment under this policy.
