Terms of Use

The rules for using the Qualeron website, and for a certifying body's platform subscription: what the service is, how billing works, and what each side is responsible for.

Edition 2026.2 · Effective September 23, 2026 · Supersedes Edition 2026.1

1.Acceptance and scope

These Terms of Use govern the Qualeron website and, for a certifying-body customer, the Qualeron platform subscription. By using the website you agree to these terms; by activating a subscription, your organization agrees to these terms together with the order form or agreement executed for that subscription, which controls where the two conflict.

These terms do not create an employment, partnership or advisory relationship, and using the website alone does not create a subscription or any payment obligation.

2.What Qualeron is

Qualeron is a software platform that certifying bodies use to run their own certification, licensure or continuing-education programs — applications and eligibility, an item bank and exam delivery, credential issuance and public verification, renewals and continuing education, and the records that support all of it.

Qualeron is not an accrediting body, does not grant accreditation to any organization, and does not decide who is certified. Each certifying body sets its own eligibility requirements, writes its own standards, and makes its own decisions; Qualeron administers the platform and the record.

3.Subscriptions, term and billing

Plans, what each includes, and current pricing are published on the pricing page; a specific customer's plan, term, fees and any negotiated variation are recorded on its account and, where one exists, its order form or agreement, which controls over the published price if the two differ.

  • Annual contracts. Annual subscriptions are payable at contract start. Implementation is billed half at signing and half before production launch. Payment terms are net 15.
  • Month to month. Month-to-month billing is available at a premium: Launch $500, Professional $1,000 and Scale $1,875 a month; Enterprise month-to-month terms are custom. An annual contract saves $1,200 on Launch, $2,400 on Professional and $4,500 on Scale.
  • Multi-year agreements. Two-year agreements take 5% off the subscription; three-year agreements take 10%. Professional on a three-year agreement is $8,640 a year.
  • Renewal. Subscriptions renew annually with 30 to 60 days' notice to cancel. Pricing is fixed for the initial term; renewal pricing may rise by 3–5% a year, communicated in advance.
  • A paid pilot. A paid pilot — $2,500 for 60 to 90 days, one program, limited candidates and attempts — is credited toward the annual subscription when you sign.

Refunds, proration and what happens to a payment already made are governed by the Refund Policy, not by this section.

4.Your responsibilities as a certifying body

You are responsible for the eligibility requirements, standards and pass/fail decisions of your own program; for the accuracy of what your organization enters into the platform; for the accounts and permissions you grant your own staff and reviewers; and for your own compliance obligations toward your candidates, including any notice or consent your program's population requires.

As between Qualeron and you, you are the controller of your candidates' data (see the Privacy Policy) — Qualeron processes it as your service provider, on your instructions and under your account's data processing terms.

5.Acceptable use

  • No interfering with the platform's operation or attempting unauthorized access to another organization's data.
  • No introducing malicious code, or using the platform to facilitate fraud, false credentialing claims, or unauthorized exam disclosure.
  • No scraping or automated extraction that impairs the service.
  • No misrepresenting your organization's status, or representing Qualeron as having accredited or endorsed your program.

6.Intellectual property

Qualeron owns or licenses the platform software, the website's design and text, and the Qualeron name and marks. You retain ownership of the content and data you and your candidates put into the platform. Using the platform grants you a limited right to use it for your own program during your subscription; it does not transfer ownership of the software, and does not grant either side rights to the other's name or marks beyond what is needed to identify a certifying body's own credential holders (for example, on a public verification page).

7.Data processing

How Qualeron handles information, and in which role, is described in the Privacy Policy and, for candidate and credential-holder data, in the data processing terms incorporated into your subscription agreement.

8.Confidentiality

Each party will protect the other's confidential information — including your program's non-public exam content and candidate data, and Qualeron's non-public platform and pricing information — with the same care it uses for its own confidential information, and will not disclose it except as needed to provide or use the service, or as required by law.

9.Service availability

Any service-level commitment is the one in the order form or agreement for your account.

10.Disclaimer

Except as expressly stated in an executed order form or agreement, the platform and website are provided "as is." Qualeron does not warrant that the platform will be uninterrupted or error-free, and does not warrant any particular candidate volume, examination outcome, or that any third party — an accreditor, a regulator, an employer — will recognize or accept a program run on Qualeron.

11.Limitation of liability

To the maximum extent permitted by applicable law, Qualeron is not responsible for indirect or consequential loss arising solely from use of public informational website content. Separate executed agreements govern formal services.

12.Indemnification

Each party will defend and indemnify the other against third-party claims arising from that party's breach of these terms, violation of law, or infringement of another's intellectual property rights, in each case as detailed in the executed order form or agreement.

13.Term, suspension and termination

A subscription runs for the term recorded on your account and renews as described in §3, unless either party gives the required notice not to renew. Qualeron may suspend access for non-payment after notice, or for a material breach, including a security or acceptable-use violation that puts the platform or another customer at risk.

On termination, Qualeron will make your organization's data available for export for a reasonable period — at least 30 days unless your agreement states otherwise — after which it may be deleted per the retention terms in the Privacy Policy.

14.Governing law and disputes

Except where mandatory law requires otherwise, these website terms are governed by the laws of the State of Delaware, and website-use disputes may be brought in a court of competent jurisdiction in the State of Delaware. A subscription is governed by its executed order form or agreement.

15.Severability

If a provision of these terms is found unenforceable, the remaining provisions stay in effect to the fullest extent the law allows.

16.Changes

Qualeron may revise these terms. Material revisions are dated and identified by a new edition on this page; for an active subscription, Qualeron will give reasonable notice before a material change takes effect.

17.Contact

Questions about these terms can be submitted through Contact Qualeron.
